Sharing & Disclosure of Your Data

We do not sell your personal data. We may share your information only in the following circumstances:

With Service Providers

We engage trusted third-party service providers to support our operations, including cloud hosting, analytics, CRM, email delivery, and customer support platforms. These providers process data strictly on our behalf and under data processing agreements.

With Affiliates

We may share your data with our affiliates within the NTG Clarity Networks group (including entities in Egypt, Saudi Arabia, the UAE, and Canada) for operational and support purposes. All affiliates are required to handle your data in accordance with this Policy.

With Enterprise Clients

If you are an Authorized User, your Enterprise Client (your employer) has access to your activity data within the Platform as the Data Controller for that environment.

Integration Partners

If the Platform is configured to connect with third-party systems (such as SAP SuccessFactors, Oracle HCM, ServiceNow, or government platforms), data flows to those systems are governed by your Enterprise Client’s configuration and agreements with those providers.

Legal Requirements

We may disclose your data if required to do so by law or in response to valid requests from public authorities — such as a court, government agency, or regulator — in jurisdictions where we operate.

In the event of a merger, acquisition, asset sale, or restructuring involving NTG Apps or NTG Clarity Networks, your data may be transferred to the acquiring entity. We will provide reasonable advance notice before your data becomes subject to a different privacy policy.

With Your Consent

We may share your data for any other purpose with your explicit consent.

Enterprise & B2B Data Processing

Applicability — SaaS hosting only: The data processing activities described in this section apply exclusively to Enterprise Clients who deploy the NTG Apps Platform under our SaaS (cloud-hosted) option, where the Platform runs on infrastructure operated by NTG Apps or its sub-processors.

On-premises hosting: Where an Enterprise Client deploys the Platform on-premises (within the Client’s own infrastructure or private environment), NTG Apps does not gather, access, store, or process any Platform data in the course of normal operation. All data remains under the exclusive control of the Client within their environment, and the provisions in this section regarding NTG Apps acting as Data Processor, Data Processing Agreements, and processing of personal data on behalf of Clients do not apply. Any incidental access (e.g., for contracted support or maintenance) is governed separately by the applicable service agreement.

NTG Apps as Data Processor (SaaS deployments)

When Enterprise Clients deploy the NTG Apps Platform under the SaaS hosting option, the Client organization acts as the Data Controller for all personal data of their employees, customers, and other individuals processed through the Platform. NTG Apps acts as the Data Processor, processing that data solely according to the Client’s instructions and contractual agreements.

Data Processing Agreements (DPAs)

We enter into Data Processing Agreements with all Enterprise Clients. These DPAs govern the scope, nature, and purpose of processing, technical and organizational security measures, sub-processor usage, data subject rights, and cross-border transfer mechanisms.

Types of Data Processed on Behalf of Clients

Depending on the modules deployed, this may include:

  • Employee records and HR data (HRMS module)
  • IT service requests, incident logs, and asset data (ITSM module)
  • Finance approvals and payroll workflows
  • Identity and access management data
  • Document uploads and workflow artifacts

Note for Authorized Users: If you are an employee whose data is processed through the NTG Apps Platform and you wish to exercise your data rights, please contact your employer (the Enterprise Client) as the Data Controller. NTG Apps will support your employer in fulfilling those requests.

Data Retention

Website & Marketing Data

Contact and inquiry data is retained for as long as the relationship remains active, plus a reasonable period thereafter (typically up to 3 years), to comply with legal obligations and to address any disputes.

Newsletter Subscribers

Email subscription data is retained until you unsubscribe or withdraw consent. We will process your unsubscribe request promptly.

Platform Data (on behalf of Enterprise Clients)

Data processed within the Platform on behalf of Enterprise Clients is retained in accordance with the terms of the relevant Data Processing Agreement. Upon contract termination, data is deleted or returned to the Client as agreed.

Usage & Technical Data

Aggregated and anonymized usage data may be retained for longer periods for internal analytics and product improvement purposes.

International Data Transfers

NTG Apps operates across multiple jurisdictions. Your data may be transferred to and processed in countries other than your own. Our key operating locations include Egypt (Cairo), Saudi Arabia (Riyadh), the UAE (Dubai), and Canada (Toronto).

When transferring personal data across borders, we implement appropriate safeguards, which may include:

  • Contractual clauses agreed with Enterprise Clients and sub-processors
  • Adequacy determinations where applicable
  • Standard Contractual Clauses (SCCs) for transfers involving EEA residents
  • Compliance with PDPL cross-border transfer requirements for data originating in Saudi Arabia
  • Compliance with Egypt’s Personal Data Protection Law (Law No. 151 of 2020) for data originating in Egypt

This Policy is designed to align with the following regulatory frameworks: Saudi Arabia’s Personal Data Protection Law (PDPL), Egypt’s Personal Data Protection Law (Law No. 151 of 2020), the EU General Data Protection Regulation (GDPR), Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and the UAE Federal Decree No. 45 of 2021 on Personal Data Protection.

Your Privacy Rights

Depending on your location and applicable law, you may have some or all of the following rights regarding your personal data:

  • Right of Access — request a copy of the personal data we hold about you
  • Right to Rectification — request correction of inaccurate or incomplete data
  • Right to Erasure — request deletion of your personal data where lawfully applicable
  • Right to Object — object to processing based on legitimate interests or for direct marketing
  • Right to Data Portability — receive your data in a structured, machine-readable format
  • Right to Restriction of Processing — request that we limit how we use your data in certain circumstances
  • Right to Withdraw Consent — where processing is based on consent, withdraw it at any time without penalty
  • Rights Related to Automated Decision-Making — object to decisions made solely through automated processing that affect you

To exercise any of these rights, please contact us at support@ntgapps.com. We will respond within the timeframes required by applicable law (typically 30 days). We may need to verify your identity before processing your request.

If you are an Authorized User of the Platform through your employer, please submit your rights requests to your employer directly, as they are the Data Controller for your Platform data.

If you believe your rights have not been respected, you have the right to lodge a complaint with the relevant data protection authority in your jurisdiction.

Security of Your Data

The security of your personal data is a core priority at NTG Apps. We implement appropriate technical and organizational measures to protect your data against unauthorized access, loss, disclosure, or destruction. Our security practices include:

  • Encryption of data in transit (TLS) and at rest
  • Role-based access controls and least-privilege principles
  • Audit trails for all data access and processing activities
  • Regular security assessments and vulnerability management
  • Incident response procedures with notification obligations

No method of transmission over the internet or method of electronic storage is 100% secure. While we apply commercially reasonable measures, we cannot guarantee absolute security. In the event of a data breach affecting your rights, we will notify you as required by applicable law.

Children’s Privacy

The NTG Apps Website and Platform are designed for enterprise and business use. We do not knowingly collect personal data from individuals under the age of 18. If we become aware that we have inadvertently collected data from a minor, we will take immediate steps to delete it. If you believe a minor has submitted personal data to us, please contact us at support@ntgapps.com.
